Tips: EPIM Simplifies Changing Email Providers

Lorenzo manages a small company and needs to change his email service. He has been using Google Workspace, a subscription service that provides a suite of Google products to businesses. He wants to know if EPIM can handle migrating his Google Workspace mail account to his new provider.

EPIM is an ideal tool for this, especially since it has been Lorenzo’s third-party client for Google Workspace. These are the steps:

1. Create the account for the new provider in EPIM. See the instruction in Help.
2. In the new account, create folders that correspond to those in the account that you want to migrate. (EPIM does not support moving or copying folders between mail accounts. You will be migrating messages. This creates an opportunity to do some housekeeping. For instance, restructure, consolidate, or eliminate folders.)
3. In the existing account, select the messages in a folder to migrate (Figure 1).
4. Right-click for the context menu (Figure 2).
   - Select Move or Copy messages.
   - Select the target account.
   - Select the target folder. EPIM will handle the messages, as directed.
5. After validating the migration, leave the former account as an archive or delete it, as needed.

The Import/Export Alternative

EPIM's export/import function is an alternative to moving or copying messages from folder to folder. This saves messages externally, which offers two benefits:

• These become a backup or archive;
• These are readily available, freeing you from time constraints if you are going to lose access to your former account.

To use this method:

1. Create the account for the new provider in EPIM.
2. Create the desired folders in the new account.
3. Create folders on your local or network device corresponding to your email folders.
4. In EPIM, select a folder in the account you are migrating. If you want only some messages, select them now.
5. Navigate to File > Export > Mail > email messages (*.eml).
6. Chose whether to export the entire folder or selected messages.
7. In the file dialog, select the folder where you want them exported.

When you are done exporting, follow these steps to import the mail:

1. In EPIM, select a folder in your new account.
2. Navigate to File > Import > Mail > email messages (*.eml).
3. Navigate to the desired folder on your local or network device.
4. Select the messages to import.
5. Click Open.

Which Method Is Best?

For a straightforward migration, Move or Copy messages is usually the easiest option. It lets you transfer messages directly between your accounts without creating intermediate files.

If you want an extra layer of backup, or if you're concerned about losing access to your old account during the migration, Export and Import is a great alternative. Your messages will be safely stored as .eml files and remain accessible independently of your email provider.

With EPIM, changing email providers doesn't have to mean starting with an empty mailbox.
